Terms of Service

These terms are between DocChaser Pty Ltd ("DocChaser", "we", "us") and the practice or person who creates an account ("you"). By creating an account or using DocChaser you agree to these terms.

1. The service

DocChaser is software that helps accounting and bookkeeping practices request, collect and review documents and information from their clients, including optional integration with Xero to identify ledger transactions missing source documents. Features available to you depend on your plan.

2. Accounts and responsibilities

  • You must provide accurate account information and keep your credentials secure.
  • You are responsible for everything done under your account, including by staff you invite.
  • You are responsible for having the authority to collect and upload your clients' personal information and documents, and for your own obligations under the Privacy Act 1988 (Cth).
  • You must not use DocChaser to send spam, unlawful requests, or to collect information you are not entitled to collect.

3. Free trial, subscriptions and billing

  • New accounts receive a 14-day free trial. At the end of the trial you must subscribe to continue using the service.
  • Subscriptions are billed in advance monthly or as otherwise stated at signup, in Australian dollars unless stated otherwise.
  • Payments are processed by Stripe. You authorise us to charge your nominated payment method.
  • If a payment fails your account may be marked past due and, after a grace period, suspended until payment is made.
  • You can cancel at any time; cancellation takes effect at the end of the current billing period. Fees already paid are not refunded except as required by Australian Consumer Law.
  • We may change prices with at least 30 days' notice. Plan limits (clients, users) are enforced according to the plan you select.

Nothing in these terms excludes, restricts or modifies any consumer guarantee or right you have under the Australian Consumer Law.

4. Your data

  • You retain ownership of the data and documents you and your clients upload ("Customer Data").
  • You grant us a licence to host, process and transmit Customer Data solely to provide the service to you.
  • We do not use Customer Data to train third-party AI models.
  • You can export your data while your account is active. After cancellation we provide a reasonable export window before deletion.

5. Xero integration

If you connect Xero, you authorise us to access your Xero organisation's data as described at connection time and under Xero's own terms. You can disconnect at any time from Settings → Integrations. We are not affiliated with or endorsed by Xero.

6. Client portal and communications

Requests and reminders are sent to your clients by email and (where enabled) SMS on your behalf. You are responsible for the content of your requests and for ensuring your clients have consented to be contacted. Portal links are single-purpose and expire; do not share them publicly.

7. Acceptable use

You must not:

  • Upload malware, or content that is unlawful, defamatory or infringes others' rights.
  • Attempt to probe, breach or circumvent security or access controls.
  • Reverse engineer the service except as permitted by law.
  • Resell access or use the service to provide a competing product.
  • Exceed reasonable usage in a way that degrades the service for others.

We may suspend accounts that breach this section.

8. Service availability and changes

We aim for high availability but do not warrant uninterrupted service. We may modify features with notice where the change is material. Scheduled maintenance will be communicated where practicable.

9. Liability

To the extent permitted by law, our aggregate liability arising from these terms is limited to the fees you paid in the 12 months before the event giving rise to the claim. We are not liable for indirect or consequential loss, loss of profits, or loss of data caused by factors outside our reasonable control. DocChaser is a tool to assist your record-keeping; you remain responsible for your own tax, accounting and professional obligations, and for reviewing documents before relying on them.

10. Termination

Either party may end the agreement by closing the account. We may suspend or terminate immediately for material breach. On termination your licence to use the service ends and the data deletion provisions of our Privacy Policy apply.

11. General

These terms are governed by the laws of New South Wales, Australia, and the parties submit to the non-exclusive jurisdiction of its courts. If any provision is unenforceable the remainder continues. These terms, together with the Privacy Policy and your plan selection, are the entire agreement.
